Executive Assistant to the Chief Executive Officer (CEO).

This role will develop and provide comprehensive organisational and administrative support to the CEO on all business and personal matters, customer engagement, business strategy and development. The role involves proactive and seamless management of schedules and a wide variety of complex and confidential administrative, secretarial and analytical duties. This role will be an integral function to the CEO and will be required to maintain confidentiality at all times.

The Role

  • Being responsible for extensive, proactive and responsive diary management for the CEO, coordinating meetings, setting up appointments and setting reminders
  • Initiate and respond to email and telephone correspondence
  • Coordinating and organising meetings and events by preparing reports and presentations, including drafting and distributing meeting agendas and minutes
  • Providing CLT support by attending board meetings, creating packs, papers and recording minutes
  • Providing support to other CLT members
  • Providing project support to ELT colleagues
  • Managing assigned projects and follow-ups with team members to track progress where required
  • Providing other administrative support to the CEO, including proofreading documents and preparing high-quality presentations
  • Providing support to the CEO in the oversight of events and participation in various ad[1]hoc projects 
  • Conducting assigned research, including analysing and summarising key findings to support the CEO's decision making
  • Arrange the CEO's travel, including visas, logistics and travel packs
  • Managing the CEO's expenses and monthly claims

The Ideal candidate

  • Bachelor’s degree or equivalent higher education desired but not essential
  • Proven experience of working independently in a high volume, fast-paced environment
  • Minimum five years proven experience providing senior EA support in an administrative support role to an executive with a demanding international workload and schedule
  •  High degree of integrity and experience in managing confidential information
  • Strong organisational skills, with ability to juggle multiple and changing priorities
  • Experience managing projects • Experience in using CRM systems
  • Previous experience with confidential or proprietary information is strongly preferred
  • Fully proficient in English • Advanced skills in MS Word, Excel, PowerPoint, Outlook and Adobe packages
  • Excellent attention to detail and accuracy in all aspects of work
  •  Resilient under pressure, with ability to maintain composure and positively manage change and unforeseen situations
